Write an Article from a Document Profile

New 7.11

Skip the blank page. Start your Article from a Document Profile and the header, the footer, and every shared section are already there, exactly as in every other Article of the same kind. You write only the sections that are yours, and a live preview shows the finished Article as you type.

  • ✅ Start a new runbook or technical note with the structure already in place
  • ✅ Write only your own sections — the shared ones stay locked and correct
  • ✅ See the finished Article live, before you save

When you need this

You need to document a new integration, and you want it to look like the rest of the knowledge base, without copying an old Article and cleaning it up.

What you need

  • Access to Articles in the Repository, through your Role.
  • A Document Profile to start from. The ready-made Standard Technical Article works out of the box; your team may have its own (see Give every Article the same structure).

Do it

  1. In the sidebar, under Articles, click Document Profiles, and open the profile you want, for example Standard Technical Article.
  2. Click Add Article using this Profile.

The Add Article using this Profile button on a Document Profile's page.
  3. Give the Article a Title. The Document Profile field already shows the profile you started from.
  4. Under Article Content, write each editable section. The section marked Main Body holds your main text; sections marked Profile-managed are shared and read-only here.
Editable section with the Insert Image, Insert File, Insert Article Link, Insert Snippet, Insert Icon, and Macro Help buttons (7.11)
Every editable section has the same toolbar for images, files, links, and icons.
  5. Check the live preview, then click Save.

Already on the Articles list? Open the dropdown next to Add Article and pick With Document Profile… instead.

What you'll see

Your Article, composed exactly like every other Article using the same profile: the shared header on top, your sections in the right order, and the shared footer and copyright at the bottom. When the profile owner improves the structure later, your Article picks up the change automatically — you don't need to edit it.

The shared header comes from the profile; the ERP System text is the writer's own Main Body.

The footer and copyright are identical in every Article using the profile.

If it doesn't work

  • Save is disabled, or you get a message about an empty section: a section is marked Required. Write something in it, then save.
  • You can't edit the header or footer: that's by design — they're shared. Ask the profile owner to change the Snippet behind it, and every Article updates at once.
