Bulk Actions
New 7.12
Tidy up a knowledge base of hundreds of Articles in minutes instead of an afternoon. Tick the Articles you want on the Articles Overview, open With Selected, and delete, restore, tag, export, or move them onto a Document Profile in one go. Every action asks before it changes anything, and tells you afterwards exactly what happened to each Article.
- ✅ Delete, restore, or permanently delete many Articles at once
- ✅ Add or remove a Tag across a whole selection
- ✅ Apply a Document Profile to many Articles, with a revision stored first
- ✅ Purge revisions or export the selection as a ZIP file
Understanding With Selected
Each row on the Articles Overview has a checkbox. With Selected shows how many Articles you have ticked, and its menu shows how many of them each action applies to.
Blue steps are yours, the yellow confirmation is where you can still back out, and the green result dialog lists what changed.

Five Articles are selected: three active and two deleted, so Delete counts 3 and Restore counts 2.
How the menu works:
- The counts are Articles, not revisions. Purge revisions (5) means five Articles, however many revisions they have.
- Each action counts only the Articles it can act on. Delete counts the active Articles in the selection; Restore and Permanently Delete count the deleted ones.
- The menu changes with the selection. Actions that don't apply to anything you've selected are left out. The screenshots on this page come from different selections, so their counts differ.
- Select and clear quickly. Use the checkbox next to With Selected to tick or untick every row in the list, and to clear the selection.
- Deleted Articles are hidden by default. Tick Include deleted above the list to see, and select, deleted Articles.
| Action | Applies to | Can it be undone? |
|---|---|---|
| Delete | Active Articles | ✅ Yes, with Restore |
| Restore | Deleted Articles | ✅ Yes, with Delete |
| Permanently Delete | Deleted Articles only | ❌ No |
| Purge revisions | Every selected Article | ❌ No (see Revision History) |
| Add Tag / Remove Tag | Every selected Article | ✅ Yes, with the opposite action |
| Apply Document Profile | Active Articles not shipped by Nodinite | ⚠️ One Article at a time, from its History card |
| Export | Every selected Article | Not needed; nothing changes |
The Result Dialog
After you confirm, a result dialog lists the outcome for every selected Article, each one linked so you can open it:
- Done, or a line such as 1 Article tagged 'Azure', lists the Articles that changed.
- Unchanged lists the Articles that were left alone, with the reason, such as Already has the tag.
Delete
Choose With Selected > Delete. Deleted Articles are soft deleted: they disappear from the list but can be restored. See Show deleted records for how soft deletes work across Nodinite.

Delete counts only the active Articles in the selection.
Confirm with Yes.

The confirmation repeats how many Articles are deleted, and that you can restore them.

The result lists every Article that was deleted.
Restore
Tick Include deleted, select the deleted Articles, and choose With Selected > Restore.

Restore counts only the deleted Articles in the selection.

Confirm with Yes to bring the Articles back.
Permanently Delete
Permanently Delete removes Articles that are already deleted, for good. It's offered only for soft-deleted Articles, so its count can differ from the other actions: delete an Article first, then permanently delete it.

Two of the three selected Articles are soft deleted, so Permanently Delete counts 2.
Warning
A permanent delete can't be undone.
Purge Revisions
Purge revisions removes stored revisions of the selected Articles, either all of them or all but the newest. The Articles themselves don't change, and the result lists how many revisions were removed from each Article. The options, the result, and the warnings are on Revision History.
Add Tag and Remove Tag
Choose With Selected > Add Tag to add one Tag to every selected Article.

Add Tag and Remove Tag act on every selected Article.
Pick the Tag and click Yes.

One Tag per run; run it again to add another.

Articles that already have the Tag are listed as Unchanged.
Remove Tag works the same way and removes the Tag you pick from every selected Article.

Remove Tag is next to Add Tag in the menu.

Pick the Tag to remove; Yes stays disabled until you do.

Articles without the Tag are listed as Unchanged.
Apply Document Profile
Apply Document Profile moves many Articles onto a Document Profile in one run, the bulk version of Move an existing Article onto a Document Profile.

Three active Articles are selected, so Apply Document Profile counts 3.
The dialog starts with a warning. Read it before you continue. Applying a Document Profile rewrites how every ticked Article is composed:
- The Article's current text becomes the Main Body section of the new profile. The profile's Snippet and Generated sections are added around it.
- A content section whose name matches a section of the new profile is kept. An Article with a content section under any other name is refused and left unchanged; open it in the editor to decide where that text goes (see Writing a Profile-Based Article).
- A revision of each Article is saved first, so each Article can be restored from its History card, one at a time. There is no bulk undo.
- Articles shipped by Nodinite, and deleted Articles, are refused.

Apply to 3 Articles stays disabled until you tick the confirmation checkbox.
- In Document Profile to apply, pick the profile. When you pick a profile shipped by Nodinite, such as Standard Technical Article, a Shipped by Nodinite note reminds you that it can't be edited and that an upgrade can change its sections. To customize the sections, clone the profile and apply the clone instead (see Start from a Copy).
- Check the list. It shows each Article's current Document Profile. Only the selected Articles is ticked; untick it to list every Article and tick more. Use Filter the result and Filter on Tag to narrow the list.
- Tick I understand that … Articles will follow …, and that there is no bulk undo.
- Click Apply to … Articles.
The summary lists the Articles that now follow the profile, with their previous profile, and the ones left unchanged, with the reason.

An Article that already follows the profile is listed as Unchanged.
Prefer a short, step-by-step guide? Move many Articles onto a Document Profile at once walks through the same dialog.
Export
Choose With Selected > Export to download the selected Articles as a ZIP file, for example to back them up or to share them outside Nodinite.

Export downloads one ZIP file with the selected Articles.
