Move many Articles onto a Document Profile at once

New 7.12

Bring a whole folder's worth of older Articles into your team's structure in one go, instead of opening them one by one. Select them, pick the Document Profile, and Nodinite wraps every Article's text in the shared header, sections, and footer.

  • ✅ Move dozens of Articles onto a Document Profile in one run
  • ✅ See exactly which Articles changed, and why any were left alone
  • ✅ Restore any single Article afterwards, because a revision is saved first

When you need this

Your team has agreed on a Document Profile, and many Articles in the knowledge base were written before that and still look different. Moving them one at a time with Move an existing Article onto a Document Profile would take all day.

What you need

Do it

  1. Open Repository > All Articles, and tick the Articles you want to move.
  2. Click With Selected and choose Apply Document Profile.
With Selected menu with Apply Document Profile (3) highlighted (7.12)
The number shows how many of the selected Articles the action applies to.
  3. Read the red warning. In short: each Article's current text becomes the Main Body, the shared sections are added around it, and there is no bulk undo.
  4. In Document Profile to apply, pick your team's profile.
  5. Check the list of Articles and their current Document Profile. To add more Articles, untick Only the selected Articles and tick them.
  6. Tick I understand that … Articles will follow …, and that there is no bulk undo, then click Apply to … Articles.
Apply Document Profile to the selected Articles dialog with the warning, profile picker, Article list, and confirmation checkbox (7.12)
Apply to … Articles stays disabled until you tick the confirmation.

What you'll see

A summary lists the Articles that now follow the profile, with the profile they had before, and the ones left Unchanged, with the reason.
Apply Document Profile to Articles summary with 2 Articles moved to Standard Technical Article and 1 unchanged (7.12)
An Article that already follows the profile is left unchanged.

Open any of them: your original text is in the Main Body, with the shared sections around it.

If it doesn't work

  • An Article was refused: it has a section whose name isn't in the new profile. Open it and move that text yourself, as in Move an existing Article onto a Document Profile.
  • Shipped or deleted Articles are refused: Articles that ship with Nodinite, and deleted Articles, are never changed.
  • Want an Article back the way it was? Open it, and restore the earlier revision from its History card (see Revision History).
  • Still stuck? See Support.
